Facility Rentals and Reservations
Reserve a space with UREC!
Please take a few moments to read the process and rules prior to submitting your request. Once your request has been submitted, you will recieve a confirmation from our office upon review of the request. It is important to note that submitting a request does not approve or confirm the space you are trying to reserve. All requests are processed in the order they are received.
Reservations of any of our spaces at our facilities will need to be submitted 4 weeks prior to the start date. Last-minute requests received within 5-7 business days prior to the date of the event will be contacted by the Assistant Director of Facilities and Operations.
If a cancellation should occur, please contact the Assistant Director of Facilities and Operations at least 5 days prior to the start date of your event. If a cancellation occurs within 48 hours or less of the event there will be a cancellation fee.
All student groups/organizations, on-campus affiliates, departments, and external groups will use this form to request space within the Student Recreation Center, Quinn Recreation Center, Mt Mitchell Fitness Center, and State Farm Fields.
If you have any questions about your reservation please feel free to contact the Assistant Director of Facilities and Operations at (828-262-2100), or stop by the main office in the Student Recreation Center.
How to Reserve:
- Completion of the UREC Facility Reservation Request Form
- Providing all event details including time of the event, number of expected participants, type of event or activity, name of group or organization requesting, etc.
- Payment of a facility reservation fee.
- Attending one or more meetings with the Facility Coordinator.

**Most reservations will require a staffing fee based on the number of fields/courts requested, and the number of participants associated with the reservation.
**All pool reservations will require Lifeguard Staff and will require a staffing fee based on the number of participants associated with the reservation.
*Some reservations will require a support staffing fee based on the uniqueness of the event.
*If the reservation requires fields to be painted, the above fee will be required based on the number of fields associated with the reservation.
